Warranty Tracking
Warranty lives on the part / invoice line, then on a claim if the customer comes back. Duration lists are shop-configurable.
Set warranty durations
- Go to Settings → Operations → Warranty (Warranty Durations).
- Add options your shop actually gives, e.g. 2 Weeks, 1 Month, 3 Months, 6 Months, 1 Year, 2 Years.
No Warranty is always in the list and cannot be removed. It is the default when you do not pick another duration.
A product can have a Default Warranty. That value is offered when the part is added to a repair or invoice line.
Write each duration as a number and a unit — 2 Weeks, 18 Months, 2 Years. ExpeDite reads that to work out the expiry date. A label in any other shape (for example “lifetime”) is kept on the line exactly as you typed it, but no expiry date can be worked out from it, so no remaining-warranty badge is shown for that line.
Warranty on a job or invoice
When you add a spare part or line item, set warranty duration on that line. Claims later look up the original invoice, device, and part — not a separate "warranty certificate" screen.

Open a warranty claim
- Go to Warranty Claims in the Jobsheet group (sidebar).
- Start a claim from the original invoice / job. The claim stores invoice number, device, customer, branch, duration, and expiry date.
- Record claim reason, failed part, supplier (if you will claim from the vendor), and technician.
New claims start as Open. A linked rework job can be created with job type Warranty rework.
In warranty vs out of warranty
The claim records whether it is inside the warranty period. How you close it matters for money:
- Inside warranty — an obligation to the customer, not a new sale.
- Out of warranty and billed — ordinary revenue on a new invoice.
- Out of warranty, repaired free — a shop choice; it costs you, it is not billed revenue.
Use Close claim when the outcome is decided. You can log root cause, resolution, and supplier claim status (for claiming the part back from your supplier).
