Create Your First Jobsheet
Register a customer's device for repair — from walk-in to printed label in under 2 minutes.
Open the jobsheet form
- On a computer, click Jobsheet in the sidebar. On a phone, tap Jobsheet on the bottom bar.
- Click "+ New Jobsheet" at the top of the page.
The form opens with a sticky toolbar showing the date and action buttons.
Empty Jobsheet list? Pull to refresh, clear filters, or tap + for a new jobsheet.
Section 1: Ownership type
Choose what kind of device this is:
- Customer-owned repair — the most common. A customer brings in their device for repair.
- Shop inventory / resale — a device your shop owns for resale or internal use.
- Parts donor / salvage — a device used only for harvesting spare parts.
For your first jobsheet, choose "Customer-owned repair".
Section 2: Customer details
- Select the Branch this job belongs to (auto-selected if you only have one).
- Search for a customer by name, phone, or email. If this is a new customer, click the "+" button to create one inline.
Creating a new customer inline
The inline form lets you add a customer without leaving the jobsheet:
- Toggle between Individual or Company.
- Enter the full name (required), phone number, and email.
- For companies: add the company name, SSM registration number, and person in charge.
- Click "Add" to save the customer and continue.
You can also set optional fields:
- Promised Date — when you expect the repair to be done.
- Deposit — collect an upfront payment. Choose the payment method (Cash, Card, etc.).
Section 3: Device details
- Brand & Model — start typing to search the device database (powered by GSM Arena). Select a model to auto-fill specs, or type manually for custom devices.
- Color — e.g. "Midnight Black", "Silver".
- IMEI / Serial No. — enter the device identifier. For 15-digit IMEIs, a link to check the IMEI online appears automatically.
- Priority — set the urgency: Urgent, High, Normal, Low, or Backlog.
Section 4: Device condition
Record the state of the device when it arrives:
- Reported Issue — what the customer says is wrong (free text).
- Power State — does it power on normally, with issues, or not at all?
- Screen — perfect, minor scratches, cracked, broken LCD, etc.
- Lock Status — unlocked, PIN locked, iCloud locked, FRP locked, etc.
- Device Condition — A (Excellent) through F (Broken/Parts only).
- Passcode — toggle on if the customer provides their unlock code. For Pattern, draw Pattern 1 / Pattern 2 / Pattern 3… on the chips (Add / Remove). When you draw — and when you view it later — blue connecting lines and direction arrows show the path so you can confirm the order. PIN and Password stay a text field (optional / for alternate codes).
Customer forgot which pattern?
Add Pattern 2 or Pattern 3 from the chips. You draw each grid — you do not type slash syntax for Pattern. Blue connecting lines and direction arrows show the path so you can confirm the order.
Section 5: Repair & parts
- Repair Status — set the initial status (e.g. "Not started" or "Diagnosing").
- Approval Status — whether the customer has approved the repair ("Not required", "Pending", etc.).
- Parts — optionally add spare parts or services at intake time.
Additional details (optional)
Expand this section to add:
- Bin / Location — where the device is physically stored in your shop.
- Accessories Received — charger, case, SIM card, etc. If your shop set up Accessories Presets in Settings, they appear as tap-to-add chips under this box.
- Intake Notes — any extra notes for the technician.
- Device Photos — take front and back photos to document the device's condition before repair.
Save the jobsheet
- Click "Save & Open Record" in the sticky toolbar.
- The system assigns a unique jobsheet number automatically (e.g. JS-2608-0001).
After saving
A success panel appears with your new jobsheet number and several actions:
- Print Label — print a sticker for the device (requires a Bluetooth thermal printer).
- Send via WhatsApp — send the agreement link to the customer's WhatsApp.
- Send via Email — email the agreement link.
- Copy Link — copy the agreement link to share manually.
- Create Quotation — immediately create a quotation for this job.
- Open Record — go to the full device record.
- New Jobsheet — start another jobsheet.
Multiple devices?
If the customer has more than one device, click "Add to queue" after filling in each device instead of saving immediately. See Multi-device intake for the full guide.
Agreement link
The agreement link lets the customer review the repair terms and sign digitally. One signature covers all devices in the intake. Share it via WhatsApp for the fastest response.
