Status Pipeline Explained

Every customer repair has a workflow status you can filter on the Jobsheet list. The button to start a job is still New Jobsheet — New Intake is a status, not the CTA.

How to filter on Jobsheet

Same nine statuses and filter meaning on phone and computer — only the control shape differs on phone.

Customer repair pipeline

These are the statuses on the Jobsheet filters. The list shows a short label; the record stores the full value.

List labelStored statusTypical meaning
New IntakeNew intakeJust registered. Default for customer-owned repairs.
BookingBookingAfter intake, before the bench. Teal chip (not New Intake blue, not In Repair amber). Counts as active / days-in-shop like New intake.
In RepairIn repairOn the bench.
Waiting PartsWaiting partsBlocked on a spare part.
On HoldOn holdPaused (waiting on customer, quote, and similar).
Ready PickupReady for pickupDone — customer can collect.
CompleteCompletedClosed out (collected / finished).
RefundRefund PendingRefund still in progress.
CancelledVoidJob cancelled. The stored value is Void, not "Cancelled".
Label vs value Filters say New Intake / Ready Pickup (Status dropdown on phone; chips on computer). The job record uses New intake / Ready for pickup. Same statuses — different capitalisation on the filter labels. Booking is the same on the filter and the record.
Not a calendar booking Jobsheet status Booking is a pipeline stage only. It is not an appointment on the Bookings calendar.

How to change status

  1. Open Jobsheet and find the device, or open the device record.
  2. Change Workflow status from the field on the record, or use the quick chips (below).
  3. Status history is logged (old value, new value, who changed it).
Dedicated mobile shell On /m, open Jobs, tap a job, then use Quick status or the full Set status select. Same nine statuses as Jobsheet. See Jobs on phone.

Quick chips on Summary (handy on phone)

When you are not editing the device, the Summary tab shows the same quick status chips as the Repair tab — under Next action. On a phone you can advance the job without hunting for Repair.

Tap a chip to set workflow status (and the usual matching repair status). Editing mode hides the chips on both Summary and Repair.

Same chips, two places Summary and Repair share one set of chips. Behaviour is the same — only the place you tap changes.

If the status update fails, you get a toast like Couldn't update status. The UI rolls back to the previous status and clears the applying chip so you can try again.

Dashboard tiles such as Active Repairs, Ready Pickup, Waiting Parts, and Overdue read from these statuses plus promised dates. Booking is counted with New intake for active jobs and days in shop. The public customer tracker maps Booking the same way as New intake (received).

Repair status is a second field

Workflow status is "where is this job in the shop". Repair status is technician progress on the same record, for example:

Changing workflow can update repair status automatically (e.g. New intake or Booking → Not started, Waiting parts → Waiting parts, Ready for pickup → Repaired). You can still set repair status by hand when it should differ.

Approval status

Separate again: Not required, Pending, Need Quotation, Approved, Declined.

Customer agreement (signed via the shared link) is also separate — signed jobs show as Agreed. One signature covers every device in a multi-device intake. See Multi-device intake.

Shop-owned and donor jobs

Not every device uses the customer pickup pipeline:

Inventory status on a customer repair is normally Not inventory.

Other names in colour maps The app also knows colours for statuses such as Awaiting diagnosis, Diagnosed, Waiting approval, and QA testing. They are not the nine Jobsheet list-filter options (phone Status dropdown / desktop chips). If you see one on an older record, treat the stored text as the source of truth.
